Lưu ý khi viết văn thư giao dịch (formal type) bằng tiếng Anh

Khi viết văn thư giao dịch bằng tiếng Anh: thư tín thương mại (business letter): thư xin việc (application letter), thư mời (inviting letter), đơn hàng (Purchase Order), thư khiếu nại (letter of complaint), thư trả lời khiếu nại (letter of answer) .... ta cần chú ý và tuân thủ một số quy tắc sau:

1. Không viết tắt: Phải viết đầy đủ I am, I will, I have seen, I do not, ... không được viết I'am, I'll, I don't, I've seen

2. Không dùng từ thông tục, tiếng lóng, từ thân mật: wanna, kid, dad, mate, ...

3. Không dùng động từ want cho ngôi thứ nhất, hãy dùng would like. Không dùng động từ should cho ngôi thứ 2 (đừng lên lớp khuyên bảo đối tác), chỉ dùng cho ngôi thứ nhất (xin lời khuyên). Dùng may hoặc could thay cho can, would thay cho will, ...

4. Hãy lễ độ dù cho đang bực tức: dùng Dear ở đầu thư, và dùng please khi muốn yêu cầu

5. Hãy viết cho ngắn gọn, nhưng đủ ý. Câu văn cũng vậy, ngắn, không dùng câu phức với 3, 4 mệnh đề (complex sentense). Câu phải có đầy đủ subject, verb, direct object và indirect object nếu có.

6. Hãy nhớ dùng và dùng chính xác các dấu chấm câu: chấm, chấm phẩy, phẩy, dấu hai chấm. nếu 1 ý chính có nhiều ý phụ, dùng dấu gạch đầu dòng. Hạn chế dùng hoặc tuyệt đối không dùng dấu chấm than (!).

7. Tránh lỗi đặt câu rườm rà: Xảy ra tình trạng trong 1 câu không biết danh từ nào làm chủ cho động từ nào, hoặc không biết động từ nào thể hiện hành động của chủ từ nào, và không biết hành động đó tác động đến đối tượng nào.

8. Tuyệt đối tránh: lỗi văn phạm, lỗi chính tả

9. Tránh lỗi ambiguity: câu, từ nhiều nghĩa, gây hiểu lầm. Dùng từ đơn giản, không dùng từ bác học.

10. Cuối thư:
- Regards, Best Regards, Hai cách này dùng thông dụng trong nhiều tình huống.
- Sincerely Yours, Dùng trong thư xin việc, thư khiếu nại, thư mời vì mang nghĩa "chân thành"
- Faithfully Yours, Dùng trong thư trả lời của nhà cung cấp cho khách hàng, vì mang nghĩa "trung thành"

Chú ý dấu phẩy cuối các từ / nhóm từ trên.

Cuối cùng, ký, phải ghi đầy đủ tên và họ.

Một vài điều lưu ý khi viết một bức thư bằng Tiếng Anh một cách trang trọng

Trong tiếng Anh, có vài điều cần lưu ý khi viết một bức thư một các trang trọng. Bạn cố gắng viết càng đơn giản và càng rõ ràng càng tốt, không nên viết một lá thư quá dài, cũng như quá ngắn.

Dưới đây là một vài lời khuyên được đưa ra như một thông lệ khi viết một bức thư bằng tiếng Anh:

1. Địa chỉ:
+ Địa chỉ của bạn: Nên viết ở góc phải trên của bức thư.
+ Địa chỉ người nhận: Nên viết bên trái và thấp hơn địa chỉ của bạn.

2. Ngày: Tùy theo từng người, ngày viết thư có thể đặt bên trái hoặc bên phải - dưới địa chỉ người nhận. Nên viết tháng ở dạng đầy đủ (ví dụ: January).

3. Mở đầu hoặc lời chào:
+ Dear Sir or Madam, - Nếu bạn không biết tên của người nhận. Lời khuyên là bạn nên có gắng hỏi xem tên người nhận là ai.
+ Dear Mr. ABC, - Nếu bạn biết tên người nhận, nên dùng kèm theo từ danh xưng (Mr, Mrs, Miss hoặc Ms hay Dr, v.v...) và chỉ dùng họ thôi. Nếu bạn viết thư cho người phụ nữ mà bạn không biết tình trạng hôn nhân, bạn nên dùng Ms thay vì Mrs hay Miss.

4. Kết thúc bức thư:
+ Yours Faithfully: Nếu bạn không biết tên người nhận thư, bạn dùng cách này để kết thúc thư.
+ Yours Sincerely: Dùng khi bạn biết tên người nhận thư.
+ Chữ ký: Ký tên của bạn và ghi tên đầy đủ dưới chữ ký. Nếu bạn đoán rằng người nhận không biết được bạn là nam hay nữ, bạn nên đặt danh xưng trong ngoặc sau tên bạn.

Nội dung một bức thư trang trọng
Đoạn đầu tiên
Đoạn đầu tiên nên ngắn gọn và diễn tả được mục đích của bức thư (ví dụ như yêu cầu, phàn nàn, xin việc, …)

Các đoạn giữa nên đề cập đến những thông tin liên quan đến việc viết thư. Hầu hết các bức thư bằng tiếng Anh không quá dài, nên thông tin được cô động, xúc tích trong việc sắp xếp rõ ràng, hợp lý mục đích hơn là lan man, dài dòng.

Đoạn cuối
Đoạn cuối nên diễn tả mong muốn của bạn là người nhận thư sẽ làm gì cho bạn.


Các từ viết tắt dưới đây được sử dụng rộng rãi trong thư:
· asap = as soon as possible
· cc = carbon copy (khi bạn gửi thư cho quá một người, nên thêm từ này để báo cho người nhận biết những ai sẽ nhận thư)
· enc. = enclosure (khi bạn gửi kèm theo thư những giấy tờ khác)
· pp = per procurationem (Đây là tiếng La-tinh, nghĩa là bạn ký thay cho người khác khi viết thư; nếu họ không có mặt để tự ký)
· ps = postscript (dùng khi bạn muốn thêm vài điều nữa sau khi bạn đã hoàn tất bức thư và đã ký tên – thông thường đối với thư viết tay)
· pto (informal) = please turn over (chắc chắn rằng người đọc thư biết rằng bức thư còn được tiếp tục ở mặt sau)
· RSVP = please reply (Vui lòng hồi đáp)

Cấu trúc một thư xin việc
Khi bạn xin việc, bạn thường đính kèm với CV của bạn một đơn xin việc. Dưới đây là cấu trúc của đơn xin việc.

Đoạn mở đầu
Giới thiệu ngắn ngọn về bạn và vị trí công việc mà bạn đang xin. Làm thế nào bạn biết được tin tuyển dụng này.

Đoạn 2
Đưa ra lý do tại sao bạn quan tâm làm việc cho công ty và tại sao bạn muốn được xem xét như là một ứng viên cho vị trí đó. Trình bày kỹ năng và kinh nghiệm của bạn, cũng như những nét đặc biệt mà bạn sẽ trở thành ứng viên phù hợp.

Đoạn 3
Thông báo cho nhà tuyển dụng biết rằng bạn có đính kèm CV mới nhất của bạn và bất kỳ thông tin nào mà bạn thấy có thể giúp bạn.

Đoạn kết thúc
Cung cấp cho nhà tuyển dụng biết là bạn sẵn sàng cho buổi phỏng vấn, cám ơn sự lưu tâm của họ, nhắc lại quan tâm của bạn cho công việc đang xin và kết thúc thư.

Some tips on writing a letter

1. Use block style - do not indent paragraphs.
2. Include address of the person you are writing to at the top of the letter, below your company address.
3. After the address, double space and include date
4. Double space (or as much as you need to put the body of the letter in the center) and include the salutation. Include Mr. for men or Ms for women, unless the recipient has a title such as Dr.
5. State a reference reason for your letter (i.e. 'With reference to our telephone conversation...'
6. Give the reason for writing (i.e. 'I am writing to you to confirm our order...')
7. Make any request you may have (i.e. 'I would be grateful if you could include a brochure...'
8. If there is to be further contact, refer to this contact (i.e. 'I look forward to meeting you at...')
9. Close the letter with a thank you (i.e. 'Thank you for your prompt help...')
10. Finish the letter with a salutation (i.e. 'Yours sincerely,')
11. Include 4 spaces and type your full name and title
12. sign the letter between the salutation and the typed name and title

Notes:

1. Keep the letter brief and to the point
2. Do not use shortened verb forms - write them out (i.e. 'don't instead of do not')
3. Always keep a copy of correspondence for future reference

Starting and Closing a letter

Once you write a letter, you should begin and end in the formal way as below:

1. To an unknown person/firm:
- Begin: Dear Sir/Madam; Dear Sir or Madam; To whom it may concern
- End: Yours faithfully; Yours truly; Truly yours

2. To a woman whose name you don't know:
- Begin: Dear Madam
- End: Yours faithfully; Yours truly; Truly yours

3. To a man whose name you don't know:
- Begin: Dear Sir
- End: Yours faithfully; Yours truly; Truly yours

4. To a person whose name you know:
- Begin: Dear Mr./ Mrs./ Ms. [name]
- End: Yours Sincerely; Very Truly Yours; Sincerely (Yours)

5. To a person you know personally:
- Begin: Dear [name]
- End: (With) Best wishes; Yours; Love; All the best; Kindest/Best regards

Yours Faithfully vs Yours Sincerely and Yours Sincerely vs Sincerely Yours

Yours Faithfully, Yours Sincerely and Sincerely Yours are closing phrases of a formal letter.

What is the difference between them in use?

1. Yours Faithfully vs Yours Sincerely

The above two phrases are to close a letter. However, their usages are rather different.

• When you open your letter with 'Dear Sir/Sirs,' or 'Dear Madam,' the closing MUST be 'Yours Faithfully,'
• When you open your letter with 'Dear Mr. ......,' (Dear + name of recipient), the closing MUST be 'Yours Sincerely,'

Notes: When you use 'Dear Mr. .....,' you just only use the family name (Ex: Dear Mr. Kenvil). DO NOT use the full name in full words or in abbreviations (Ex: Dear Mr. Esthony Kenvil or Dear Mr. E. Kenvil)

With your closest friend, you may use 'Dear + name' (Ex: Dear Tram)

2. Yours Sincerely vs Sincerely Yours
Is there any difference between these two ?

Actually, there are some explanation pertaining to the difference in use of them. However, no study said that which one is wrong.

The explanation was some of below:
- Some one said that the first one is British English word order, while the second is American English one.
- Some one encouraged to use 'Yours Sincerely' instead of 'Sincerely Yours'. The reason is because 'Sincerely Yours" sounded too much like 'All Yours'
- The other explained that 'Yours Sincerely' is the standard and polite way of ending a letter. 'Sincerely Yours' sounds warmer, more friendly, more personal. You can use it when you are writing to a friend.

Remember that the capital letters are the important parts of good English!

Write an email - Thank You Letter

In my opinion, a thank you letter would be very important after an interview. It may help us to possibly pass the interview even though we are not so successfull in the face-to-face interview. An Email Interview Thank You Letter is very formal.

# Câu viết dài hay ngắn tùy vào nội dung của từng câu, chứ không nhất thiết nó phải dài hay phải ngắn, cái quan trọng là xác định được thế nào là một câu hoàn chỉnh.

Câu dài mà hay thì nói làm gì, dài mà lủng củng thì nên viết ngắn thôi.

# Sau while + S + Verb hoặc While + doing .Thêm một điểu nữa, khi đề cập đến tương lai, hãy dùng thì hiện tại ( không phải will ) sau while

Thông thường sau While còn có 1 mệnh đề chính thí dụ như:

While he was waiting for a friend, he saw a traffic accident

Và thông thường người ta lược bớt subject trong mệnh đề phụ nếu 2 mệnh đề có cùng subject. Câu trở thành:

While waiting for a friend, he saw a traffic accident.

Ngoài ra, while có thể dùng với cả thì quá khứ nữa, không phải chỉ có hiện tại không thôi.

Let me say again, this is the first time I public these mail. You can see them somewhere, it is the fact. But what you saw there are not mine, in both meaning of my letters nor my posts.

Besides, I post these private letters here, because they are well writen, in grammar, in vocabulary, in structure, in litery style; so that we could read them, and study how the author wrote them and how person perform their feeling.

Pham!!! Hello my darling!!!

I'm writing to you as soon as I can!!!!!! I was busy with many arrangements!!!!!!!!!!! Also I had to repeat some words for my English test and I finally passed my test today morning!!!
Today I was in the travel agency and I received an information about my trip! I will be very thankful to you if you can meet me at the Airport! I will arrive to you on Saturday, November 1!!!!!! I hope so much it's a good day for you to meet me!

The full cost of my trip including documents and roundtrip tickets is 1399 US dollars. I passed all tests and everything and all papers are ready. I will pass my final interview at the embassy this week and they will put all stamps in my documents and I will come to see you! I can't say I'm too much nervous. I know you are waiting for me and I hope you will tell me everything about your country and show me some nice places over there. I will travel eco class, I hope my flight will be OK. It's so many hours to spend on the plane, I've never done such big flights. As far as I remember it was about five hours to fly to Turkey from my city and it's the longest flight I've done. I will be able to stay over there during 12 months and then I can prolong my visa or change my status.

I will have a special work visa for nurses and I will work as a nurse. I'm happy I have a job lined up and I hope everything will works out! I want to meet you and talk to you and get to know you better. I feel we will like each other, at least I hope so.
